Voluntary Cancellation by the Passenger:
- To cancel the holiday, the primary passenger on the booking must submit a written notice of cancellation to our office. Upon receipt, we will refund the cost of the tour after deducting the applicable cancellation charges as outlined below.
- To compensate for the expected loss resulting from the cancellation, we have established a scale of charges that must be paid by you or anyone traveling with you:
- From the date of booking until 45 days prior to the departure date, a cancellation charge of 30% of the package cost will apply.
- From 45 days to 30 days prior to the departure date, a cancellation charge of 50% of the package cost will apply.
- From 30 days to 7 days prior to the departure date, a cancellation charge of 100% of the package cost will apply.
Please note that certain hotels and vendors may have different cancellation policies. Upon booking confirmation, we will provide you with the revised cancellation policy specific to your tour package.
Changes Made by Us before Travel:
- We reserve the right to make changes to your holiday program due to unforeseen circumstances. If you do not wish to accept a significant change, which we will inform you about prior to your departure, we will, if possible, offer you an alternative holiday of comparable or similar standard and price at no additional cost. Alternatively, we may offer you a less expensive holiday and refund the price difference. If you decline the alternative options provided, you have the choice to select a different holiday offered by us, paying or receiving a refund for any price difference. Alternatively, you can choose to cancel your holiday and receive a full refund of the deposits you have paid, excluding any amendment charges or visa fees.
- However, please note that if the change is due to circumstances such as conflict, disturbances, terrorist activity, natural disasters, fires, or adverse weather conditions, we will only refund the deposits if the change occurs within 12 days or less prior to the departure date.
Circumstances Beyond Our Control:
- We cannot provide compensation, reimburse expenses, or accept responsibility for any amount if, due to circumstances beyond our control, we need to modify your holiday after booking, are unable to deliver the agreed-upon holiday, or if you suffer any loss or damage of any kind.
- Circumstances beyond our control include events that were unforeseeable and unavoidable, even after taking all reasonable precautions. These circumstances typically include, but are not limited to, war, threat of war, airport closures, epidemics, natural or nuclear disasters, terrorist activities, civil unrest, industrial disputes, and adverse weather conditions.
Your Responsibilities:
- We want all our customers to have an enjoyable and worry-free holiday. However, please remember that you are responsible for your actions and their impact on others. If we or any authorized person believes that your behavior may disturb or endanger other customers or our staff, or if it may cause damage or pose a risk, or if you are unfit to travel, we reserve the right to terminate your holiday and the corresponding contract. In such cases, you and your travel party will be denied access to the booked accommodation, transport, and any other travel arrangements included in your booking. We will not be liable for any refund, compensation, or additional costs you may incur. Alternatively, at our discretion, you may be allowed to continue with your holiday but subject to additional terms and conditions.
- In addition to the aforementioned responsibilities and their impact on others, it is crucial that you prioritize your safety and the condition of the property you occupy. We are not liable for any accidents resulting from irresponsible behavior or accidents caused by broken glass, china, or similar objects that were left in a way that may cause injury.
- While we want you to enjoy your holiday, we understand that alcohol consumption may be part of your experience. However, we expect you to consume alcohol responsibly, and we shall not be held liable for any injuries, losses, or damages resulting from impaired judgment caused wholly or partially by alcohol.
- You and the members of your travel party will be jointly and individually liable for any damage to the accommodation, furniture, equipment, or other materials within the accommodation. This includes any legal costs incurred in pursuing a claim. It is your responsibility to report any breakages, defects, or damage promptly to the appropriate person.
- If your behavior or the behavior of any members of your travel party causes a diversion, you and those members will be jointly and individually liable for all costs associated with the diversion. We cannot accept liability for the behavior of others in your accommodation or for any facilities or services withdrawn due to their actions.
If You Have a Complaint:
- We strive to provide the best possible holiday experience. However, if you are not satisfied, please promptly report your concerns to the relevant person, such as the accommodation management or transport supplier. If they are unable to assist you, inform your holiday representative, and we will make every reasonable effort to resolve the issue. If you remain dissatisfied, please email us at contactus@trekmeup.com or phone at +91 8073047584 (24*7 Helpline) or mailing us at: No.13-14, 2nd floor, Kothnur Main Rd, opposite Corporation Bank, JP Nagar 7th Phase, Bengaluru, Karnataka 560078. Please note that no complaints or refund requests will be entertained after the holiday program has concluded.
Responsibility for Documents and Possessions:
- You are solely responsible for the risk and security of your baggage, belongings, currency, valuables, documents, and personal effects (collectively referred to as "baggage") throughout the tour. This applies during air travel, hotel stays, coach travel, excursions, or any other activities.
- If you forget to carry or lose essential travel documents such as permits, passports, IDs, visas, tickets, etc., you may be forced to curtail the tour and incur additional expenses for which you are solely responsible.
- Considering the above, please note the following:
- We are not responsible or liable for any loss or damage to your baggage or its contents, whether due to theft, accidents, negligence, or other causes.
- We are not responsible for any cancellations or curtailments of your tour resulting from the loss of baggage. We will not provide compensation or refunds in such cases.
- Some insurance coverage may be provided for baggage loss or damage.
- It is advisable not to carry valuables on the tour. However, if you choose to do so, we recommend using all available facilities to keep them secure throughout your journey. Some hotels offer safe deposit lockers for an additional fee.
