What is a Visa ?
The word Visa comes from a Latin phrase "charta visa", which literally means “paper that has been seen"
1000's of years ago, back in 450 BCE, Persian King Artaxerxes I issued a written permits to non-Persians that allowed them a safe passage through his empire.
After world war I (in the late 19th and early 20th century), the modern visa system evolved when passports and visas became standardized under international agreements. And, today we have 190+ countries offering visa to travelers to enter their country, making travel easy and safe.
VISA GUIDELINES
Applying for a visa is an important part of your travel planning.
While TrekMeUp will guide you through the process, visa decisions are made only by the respective Embassy, Consulate or Immigration Authority.
Please read the following guidelines carefully.
1. Submit Documents on Time
- Please provide all required documents as early as possible.
- Late submission may delay the application process and may affect your travel plans.
- Missing documents can result in delays or rejection.
2. Provide Genuine and Accurate Information
- All information provided in your visa forms and supporting documents must be true and accurate.
- Do not submit fake, altered or misleading documents.
- Incorrect information may lead to visa refusal and can affect future visa applications.
3. Financial Documents Are Important
- Most countries require proof that you can financially support your trip.
- Bank balances, income proof, tax documents and other financial records should be maintained as advised by our visa team.
- Large recent deposits or unusual transactions may require explanation.
- Our team will guide you on the documents normally expected by the embassy, but the final assessment is made by the visa officer.
4. Additional Documents May Be Requested
- The embassy may ask for extra documents, explanations, interviews or biometric appointments at any stage.
- Such requests must be completed promptly to avoid delays.
5. Passport Requirements
- Your passport should be valid as per the destination country's requirements, usually at least 6 months beyond your travel date.
- It should have sufficient blank pages for visa stamps.
- Damaged or worn-out passports may not be accepted.
6. Attend Biometrics and Interviews
- Some countries require fingerprint collection, photographs or personal interviews.
- Missing an appointment can delay or affect your visa application.
7. Previous Visa Refusals or Immigration Issues
- If you have previously been refused a visa, overstayed a visa, or faced immigration issues, please inform us honestly.
- Hiding such information can negatively affect your application.
8. Employment, Business, or Student Documents
Depending on your profile, additional documents may be required:
- Employees: Employment letter, leave approval, salary slips etc.
- Business owners: Business registration, tax documents, company financials etc.
- Students: Student ID, enrolment proof, sponsor documents etc.
- Retirees: Pension or retirement-related documents, if applicable.
9. Processing Times May Vary
- Visa processing times vary by country and season.
- Delays can occur due to embassy workload, security checks, holidays or additional document requests.
- Processing times cannot be guaranteed by TrekMeUp.
10. Visa Approval Is Never Guaranteed
- Submitting a complete application does not guarantee visa approval.
- The embassy may approve, refuse, shorten or limit a visa based on its assessment.
- TrekMeUp cannot influence or guarantee a visa decision.
11. Common Reasons for Visa Refusal
Visas may be refused for various reasons, including:
- Insufficient financial proof.
- Incomplete documentation.
- Inconsistent information.
- Lack of satisfactory travel history.
- Inability to demonstrate the purpose of travel.
- Concerns about returning to the home country after the trip.
- Any other reason determined by the embassy, application-wise.
12. Flights and Hotels
- Booking flights, hotels, tours or travel packages does not guarantee visa approval.
- Please understand the cancellation and refund policies of your bookings.
- Any financial loss due to visa refusal or delay will be subject to the terms of the respective service providers.
13. Travel Insurance
- Some countries require travel insurance as part of the visa process.
- Even when not mandatory, travel insurance is strongly recommended.
14. Stay Available During the Visa Process
- Please remain reachable by phone, email or WhatsApp.
- Delayed responses may affect processing timelines.
15. Visa Does Not Guarantee Entry
- Even after a visa is granted, entry into a country is subject to approval by immigration officers at the airport, seaport, or border crossing.
- Travelers must comply with the laws and immigration rules of the destination country.
16. Visa Rules Can Change
- Embassies may change visa requirements, fees, documentation or procedures without prior notice.
- Additional documents may be requested even after the application has been submitted.
17. Group Travel Applications
- Each visa application is assessed individually.
- Approval of one traveler's visa does not guarantee approval for others in the same group or family.
18. TrekMeUp's Role
- TrekMeUp assists with guidance, document review, application preparation and appointment coordination where applicable.

- However, we do not make visa decisions and cannot guarantee visa approval.
