HOW WE PROTECT YOUR PERSONAL INFORMATION

 Travel Documentation and Personal Data Handling

  • For travel bookings, we may collect sensitive documents such as passports, visas, government-issued IDs and other identification necessary to facilitate your trip. These documents are handled securely and shared only with airlines, immigration authorities, hotels, or tour operators as required. 
  • We do not store these documents longer than necessary and take reasonable precautions to protect them from unauthorized access, disclosure, or misuse.


Health Information

  • If your travel booking involves medical or health-related information—for example, for adventure treks, special accommodations, or travel insurance—such information is collected solely to ensure your safety and provide appropriate services. 
  • Health data is handled securely and shared only with relevant service providers strictly for the purpose of facilitating your travel.


International Transfers

  • We work with travel service providers, airlines and partners across different countries. By booking with us, you consent to your personal information being transferred and processed internationally, in jurisdictions that may have different data protection laws than your home country.


Travel Insurance or Emergency Services

  • If you opt for travel insurance or emergency assistance services through us or our partners, certain personal and travel information may be shared with insurance providers or emergency service providers solely for the purpose of policy issuance, claims or support during your trip.


Retention Periods

  • We retain personal information, including booking history, payment details and contact information, only for as long as necessary to provide our services, comply with legal obligations and resolve disputes. 
  • Once this period ends, personal data is securely deleted or anonymized.


Customer Rights under Privacy Laws

  • Depending on your jurisdiction, you may have rights such as access, correction, deletion, withdrawal of consent, or filing complaints regarding your personal data. PAYMENT POLICY

  •  100% payments to be made at the time of booking
  • The passport should be valid for 6 months from the date of departure and at the time of tour completion (some countries demand 1 year)
  • Quotations are always per person on a double/twin sharing basis. Rooms are on twin share basis. However, a third person in a room will be provided with a sofa cum bed or rollaway bed depending on the availability at the hotel at extra cost. Extra bed or cot is subject to availbility
  • Act of God such as climate, pandemic, natural disasters etc and also security threats, Government directives / closures might affect the itinerary, Trekmeup cannot be held responsible for the same

CANCELLATION POLICY

  • No charges will apply if a cancellation request is received 60 days or more before departure.
  • 100% cancellation charges will apply if a cancellation request is received within 50 days of departure.
  • No-shows or early departures will be charged 100% of the total invoice.
     

Please note that each tour may have a specific cancellation policy. We strongly recommend reviewing and agreeing to it before making any payments to avoid last-minute disappointments.

REFUND POLICY

Voluntary Cancellation by the Passenger:

 

  • If you wish to cancel your holiday, the primary passenger on the booking must submit a written notice via email. Upon receipt, we will process a refund for your tour cost, after deducting applicable cancellation charges as outlined below:
  • From booking date to 45 days before departure: 30% of the package cost
  • From 45 to 30 days before departure: 50% of the package cost
  • From 30 to 7 days before departure: 100% of the package cost
  • Please note that certain hotels and vendors may have their own cancellation policies. After booking confirmation, we will provide the updated cancellation terms specific to your tour. We strongly advise reviewing and agreeing to these policies before making any payments to avoid last-minute disappointments.


Changes Made by Trekmeup or its Vendors before Travel:

  • We reserve the right to modify your holiday program due to unforeseen circumstances. If you do not accept a significant change, which will be communicated before departure, we will, wherever possible:
  • Offer an alternative holiday of comparable standard and price at no extra cost, or
  • Offer a less expensive alternative and refund the price difference.
  • If you decline these alternatives, you may choose another holiday offered by us, paying or receiving a refund for any price difference. Alternatively, you may cancel your holiday and receive a full refund of deposits paid, excluding amendment charges or visa fees.
  • Important: If changes are due to conflicts, disturbances, terrorist activity, natural disasters, fires, or adverse weather, refunds of deposits will only apply if the change occurs within 12 days or less prior to departure. We strive to recover and refund as much as possible from our vendors.


Force Majeure:

  • We are not liable for compensation, expenses, or losses if your holiday must be modified, cannot be delivered, or results in loss or damage due to circumstances beyond our control.
  • Such circumstances include, but are not limited to: war, threat of war, airport closures, epidemics, natural or nuclear disasters, terrorist acts, civil unrest, industrial disputes, or severe weather. These events are unforeseeable and unavoidable, even with all reasonable precautions.


Your Responsibilities:

  • We want your holiday to be enjoyable and safe. You are responsible for your actions and their impact on others. If we or any authorized person believe that your behavior may disturb or endanger other guests or staff, cause damage, pose a risk, or indicate you are unfit to travel, we reserve the right to terminate your holiday and the associated contract.
  • In such cases:
  • You and your party may be denied access to accommodation, transport, or other arrangements included in your booking. No refund, compensation, or additional costs will be covered by us.
  • At our discretion, you may continue your holiday under additional terms and conditions.
  • You are also responsible for:
  • Ensuring your safety and protecting the property you occupy. We are not liable for injuries caused by irresponsible behavior or hazards such as broken glass, china, or similar objects.
  • Consuming alcohol responsibly. We will not be liable for injuries, losses, or damages resulting from impaired judgment due to alcohol.
  • Any damage caused to accommodation, furniture, equipment, or materials, including legal costs for claims. Promptly report any breakages, defects, or damage.
  • Costs resulting from diversions caused by your actions or those of your travel party. We are not liable for the actions of other guests or for services withdrawn due to their behavior.

  • If you experience issues during your holiday, report them promptly to the accommodation management, transport provider or your holiday representative and to us. We will make reasonable efforts to resolve the matter.

  • Please note that complaints or refund requests will not be entertained after your holiday concludes.


Responsibility for Documents and Possessions:

  • You are solely responsible for the safety and security of your baggage, belongings, currency, valuables, travel documents, and personal effects throughout the tour.
  • Losing essential documents such as passports, permits, IDs, visas, or tickets may force curtailment of your tour at your expense.
  • We are not liable for loss or damage to baggage, or cancellations/curtailments caused by lost items.
  • Some insurance may cover baggage loss or damage; however, it is advisable to avoid carrying valuables. Use available hotel safes or lockers where possible (fees may apply).

1) How we use your information ?

  •  When you book a holiday or use our services, we collect personal information such as your name, address, email, and travel preferences. We also automatically receive your IP address to help understand your device, browser, and operating system. (only in case of live website purchases)
  •  Email Updates: With your consent, we may send emails about your bookings, upcoming tours, new packages, travel tips, or special offers. 

2) How we obtain consent?

  •  By providing personal information to complete bookings, verify payments, arrange travel, or process cancellations/returns, you consent to its collection and use for those purposes. For other purposes, such as marketing, we will ask for your explicit consent or provide an opt-out option.

  •  We may disclose your information if required by law or if you violate our Terms of Service. For example, we may share information with travel partners, airlines, hotels, or tour operators only as necessary to deliver your travel services. 

4) Payment Security

  •  All payments are processed through CC Avenue, which uses encryption according to PCI-DSS standards. We or CC Avenue do not store your card details. Transaction data is retained only as long as necessary to complete your purchase.

5) Third-Party Services 

  • We may use third-party providers (airlines, hotels, transport partners, excursion operators) to deliver our travel services. These providers may collect or process your information solely to perform their services.
  • Important: Some providers may operate in jurisdictions different from yours. Once you leave our site to interact with them, this Privacy Policy no longer applies. Always review their privacy policies.
  • External Links: Clicking links to other sites is at your discretion; we are not responsible for their privacy practices.

6) Security

  •  We follow industry best practices to safeguard your information against loss, misuse, unauthorized access, disclosure, alteration, or destruction. 

7) Cookies

  •  We use cookies to maintain your session and improve your browsing experience. Cookies do not personally identify you outside our website. 

8) Age of consent

  •  By using our site or booking a tour, you confirm you are at least the age of majority in your region, or have consented for any minors under your care to use the site and participate in travel services. 

9) Changes to privacy policy

  •  We may update this policy from time to time. Material changes will be posted on our website. If our company is acquired or merged, your information may be transferred to new owners to continue providing travel services.
