Voluntary Cancellation by the Passenger:
- If you wish to cancel your holiday, the primary passenger on the booking must submit a written notice via email. Upon receipt, we will process a refund for your tour cost, after deducting applicable cancellation charges as outlined below:
- From booking date to 45 days before departure: 30% of the package cost
- From 45 to 30 days before departure: 50% of the package cost
- From 30 to 7 days before departure: 100% of the package cost
- Please note that certain hotels and vendors may have their own cancellation policies. After booking confirmation, we will provide the updated cancellation terms specific to your tour. We strongly advise reviewing and agreeing to these policies before making any payments to avoid last-minute disappointments.
Changes Made by Trekmeup or its Vendors before Travel:
- We reserve the right to modify your holiday program due to unforeseen circumstances. If you do not accept a significant change, which will be communicated before departure, we will, wherever possible:
- Offer an alternative holiday of comparable standard and price at no extra cost, or
- Offer a less expensive alternative and refund the price difference.
- If you decline these alternatives, you may choose another holiday offered by us, paying or receiving a refund for any price difference. Alternatively, you may cancel your holiday and receive a full refund of deposits paid, excluding amendment charges or visa fees.
- Important: If changes are due to conflicts, disturbances, terrorist activity, natural disasters, fires, or adverse weather, refunds of deposits will only apply if the change occurs within 12 days or less prior to departure. We strive to recover and refund as much as possible from our vendors.
Force Majeure:
- We are not liable for compensation, expenses, or losses if your holiday must be modified, cannot be delivered, or results in loss or damage due to circumstances beyond our control.
- Such circumstances include, but are not limited to: war, threat of war, airport closures, epidemics, natural or nuclear disasters, terrorist acts, civil unrest, industrial disputes, or severe weather. These events are unforeseeable and unavoidable, even with all reasonable precautions.
Your Responsibilities:
- We want your holiday to be enjoyable and safe. You are responsible for your actions and their impact on others. If we or any authorized person believe that your behavior may disturb or endanger other guests or staff, cause damage, pose a risk, or indicate you are unfit to travel, we reserve the right to terminate your holiday and the associated contract.
- In such cases:
- You and your party may be denied access to accommodation, transport, or other arrangements included in your booking. No refund, compensation, or additional costs will be covered by us.
- At our discretion, you may continue your holiday under additional terms and conditions.
- You are also responsible for:
- Ensuring your safety and protecting the property you occupy. We are not liable for injuries caused by irresponsible behavior or hazards such as broken glass, china, or similar objects.
- Consuming alcohol responsibly. We will not be liable for injuries, losses, or damages resulting from impaired judgment due to alcohol.
- Any damage caused to accommodation, furniture, equipment, or materials, including legal costs for claims. Promptly report any breakages, defects, or damage.
- Costs resulting from diversions caused by your actions or those of your travel party. We are not liable for the actions of other guests or for services withdrawn due to their behavior.
If You Have a Complaint:
- If you experience issues during your holiday, report them promptly to the accommodation management, transport provider or your holiday representative and to us. We will make reasonable efforts to resolve the matter.

Responsibility for Documents and Possessions:
- You are solely responsible for the safety and security of your baggage, belongings, currency, valuables, travel documents, and personal effects throughout the tour.
- Losing essential documents such as passports, permits, IDs, visas, or tickets may force curtailment of your tour at your expense.
- We are not liable for loss or damage to baggage, or cancellations/curtailments caused by lost items.
- Some insurance may cover baggage loss or damage; however, it is advisable to avoid carrying valuables. Use available hotel safes or lockers where possible (fees may apply).
